54 an hour 2 days ago 2 days ago 2 days ago Under the supervision of the Administrative Assistant - Youth Center, provides secretarial support such as answering and screening calls, typing correspondence, reports, and other documents, and maintaining resident records.
Maintains security of main entrance and security cameras, greets visitors, and enforces visitation policy.
Manages and schedules resident medical and dental care including transportation.
Maintains multiple databases and conducts pre-employment criminal history background checks.
Work Schedule:
Monday-Wednesday (8am - 5pm:
1 hour unpaid lunch) and Thursday (Noon to 5pm with no lunch)- 29 hours per week.
Essential Functions 1.

2.
Serves as receptionist for the Youth Center and directs and assists incoming visitors.
Communicates to staff the arrival of parents, legal representatives, law enforcement personnel for visitation, counseling, intake or release.
Informs shift supervisor when court bring youth in for lock-up.
Assures that Youth Center policies are followed regarding security doors, police officer's gun lock-up, visitation policy and related policies.

Compiles daily, monthly and yearly child care counts and statistical reports for use by court personnel, police and legal agencies, and State of Michigan in regard to licensing requirements.
4.
Maintains the security of the main entrance to the Youth Center and ensures adherence to Youth Center policies regarding security procedures.
Observes individuals entering and monitors those requesting to leave the building before unlocking doors.
Operates electronic locking panel to allow exit and/or entrance through security doors.
5.
Answers incoming phone calls of the center, routing to proper channels or taking messages.
Ensures that confidentiality is being maintained.
6.
Processes correspondence for Family Counselor including legal requests for the Judge, and a variety of forms, data sheets and other highly confidential material.
Prepares personal information and rap sheet packets for new youth entering the Residential Treatment Program.
Coordinates paperwork for RTP graduations.
7.
Prepares, proofreads, copies and collates material for the Residential and Detention Units and Food Services Department.
Includes agendas and programming for retreats, inventory lists, task lists, and meeting notes.
8.
Maintains and organizes Youth Center resident files to keep current.
Checks to ensure that each file contains proper legal and medical/insurance information.
Helps ensure compliance with the State Administrative Rules regarding such files.
9.
Types, proofreads and edits correspondence, records, forms, reports, and other documents for the Director and other management staff.
10.
Processes out-going mail for pickup by postal service or county mail carrier.
Receives incoming postal and departmental mail, sorts and distributes.
11.
Serves as a replacement for Administrative Assistant - Youth Center, assuming the duties during absence.
This includes vouchering payment of Youth Center bills, price comparisons and ordering of supplies, preparing payroll work sheets, entering into computer system, and handling and balancing cash accounts.
12.
Monitors weekender, study hall list/orders and prepares resident files; prepares weekly and monthly resident visitation lists.
13.
Expunge resident files who have reached the age of 18 including ensuring intake cards/database information is accurate before expunging.
14.
Enters all resident incident reports into Access database and runs reports accordingly.
Manipulates and corrects/adds/deletes information and fields in various Access databases.
15.
Conducts pre-employment criminal history background checks.
16.
Manages and schedules resident medical exams and schedules monthly dental clinics for eligible residents.
Arranges transportation to appointments as needed.
17.
Responsible for preparation of supporting data, disbursement and reimbursements of Youth Activities Fund.
18.
Maintains and updates Victim's Rights Program.
19.
Cross references and schedules conference room and vehicle usage.
20.
Shops bi-monthly for resident and building supplies.
21.
Performs general support tasks such as faxing materials, copying materials and related tasks.
22.
In the absence of the Administrative Assistant, creates, updates and/or modifies training, procedure and policy manuals, and resident handbooks.
23.
Responsible for JCYC photography and desktop publishing projects.
24.
Adds and modifies employee ID access cards as needed.
25.
As needed, works with the Facilities and IT Departments to coordinate project requests and ensure resolution of system problems.

Employment
Qualifications Education:
High school graduation with someadvanced collegecoursework in accounting, word processing, public relations, and related areas.
Experience:
Minimum of twoyears of experience in a secretarial/clerical capacity.
Prefer experience in working with youths.
Ability to type 55 wpm.
Other Requirements:
Possession of a valid Michigan Driver's license.
Relevant Skills/Specialized Equipment Knowledge:
Basic office equipment such as telephone, calculator, photocopier, Fax, etc.
Photographic, audio and video equipment.
Computer programs including word processing, spreadsheets, database entry and maintenance, financial applications, and desktop publishing.
Ability to operate/access door/ID badge computer software; perform security camera manipulation.
